No Tax Coupon Day Sale

This guide will explain the steps needed to set up a No Sales Tax Day Event.
Summary of Setup Procedure
1. Start in System | Support Files | Sales Tax Menu | Non-Tax Types | New ID Type ”NTXC”
2. Description insert ”Non Tax Coupon”
3. Go to IC | Support Files | Class | New | ID Field enter in ”Y70”
4. Description type ”PROMOSALESTAX”
5. Go to Inventory File | Add
6. Item ID type ”NTXCOUPON”
7. Description ”Promotional No Sales Tax Coupon”
8. Unit of Measure screen leave defaults
9. Pricing Information screen Item Type ”Coupons”
10. Left Click Taxable Item check box to remove the check
11. From the Non-Tax Class pick list, choose ”NTXC”
12. Classification information screen Class enter ”Y70” or select from pick list
13. Note: If your sales link codes are set as Def, Left Click Next. If you use specific GL Account Codes, check with the bookkeeper or accountant
14. Left Click Save on the Finish Add New Item
 
Details of Setup Procedure
Create Non-Tax Type
To set up a Non-Tax Table entry NTXC, go to System | Support Files | Sales Tax Menu | Non-Tax Types | New.
 
In the ID field, type ”NTXC” and in the Description Field, insert ”Non Tax Coupon”.  Select OK and you have created a Non Tax Type Items ”NTXC."  By setting this classification up in your Tax Table Set Up, you will be able to track this item in your sales tax report.
 
  
Create Class Code
To set up an Inventory Class Code ”Y70”, go to IC | Support Files | Class | New. In the ID Field enter ”Y70” (Why Y70? Why not?).
 
 In Description field type ”PROMOSALESTAX”.
 
By setting up the Inventory Class Code, you can easily track how much of a discount you are giving your customers.  You do this by running a Sales Report for the day you ran the sale.
 
To generate this report, go to POS | Reports | Sales Reports (this report is also in IC | Reports | Sales Report). In Type Report, Left Click ”Summary," Order by, ”Class," in the date fields type the dates that you wish the report to be generated (if the report is to be generated for ”today” press ”T” short-cut for today’s date).  If you only want to see the single line item Y70 in Class field, enter ”Y70."
 
The last couple of summaries show how you can use various functions and settings to help you document, evaluate, and validate what you are doing daily in your stores.
Create No Tax Coupon Item
Add a coupon, ”NTXCOUPON," to your inventory data via IC | Inventory File | Add.  This will take you to the New Item Wizard.
 
In the Item Description Screen, add ”NTXCOUPON” in the Item ID field and in the Description field, insert ”Promotional No Sales Tax Coupon”.
 
The Unit of Measure Screen can be left blank.
 
In the Pricing Information Screen, for Item Type, select ”Coupons” from the pick list and deselect the check box Taxable Item. From the pick list Non-Tax Class, select NTXC (created previously).
 
In the next screen, under Classification Information, either type in ”Y70” or select ”Y70” from the pick list (created previously).
 
In the GL Accounting Information screen, the information entered here will be store specific and depend on how your GL linking codes are set up. Be sure to verify what is needed in these fields with the store manager or your accountant.            
 
The Notes and Picture Screen does not require any input.
 
Left Click Save in the Save New Item to complete the New Item Wizard.  This action will add the coupon, ”NTXCOUPON," to your inventory data.
 
This is the Inventory Maintenance screen of the newly created item ”NTXCOUPON”.  Left Click Close to continue.
           
 
Confirm sale within an invoice
During the sale, your Ring Sale screen will look like this.  Enter the amount for the No Tax Coupon equal to the tax on the invoice.
 
In the example below, Line 2 NTXCOUPON will have a negative dollar amount equal to the TAX dollar amount.
Setting up No Sales Tax Promotion
To setup a promotion for this No Sales Tax coupon, go to POS | File Maintenance | Promotions. Once here, click New to create a new promotion. In the Type Promo field, you want to change it to No Sales Tax.
 
From here, enter a description for this promotion, the dates for the promotion, and locate the No Sales Tax Coupon item you just made. To enter the coupon you created in your inventory, click the Find button (...) to bring up the Find screen.
 
Once you have selected the coupon and finished creating the promo, click OK to save these changes to the system.
