Jobs

Jobs allow a customer to organize invoices into projects so that all transactions related to that project are organized and can easily be found.  Jobs can have specific contacts, credit limits, and POs.  To enable jobs, Use Jobs must be checked in AR | Customer File | Accounting.
 
Click Jobs in the customer file in View mode.  The button is not clickable in Edit mode.

The Jobs screen opens, listing any existing jobs.

Job List

By default, only active jobs are listed.  Uncheck Active Jobs Only to view all jobs.
 
To view or edit details for a job, click the Properties tab.

Click New to create a new job.

Contacts

This displays contacts assigned to this job.

Job Status

2. Job Status
This indicates the status of a job.  You can uncheck the box for old or unused jobs to indicate inactive status.

Sales Tax

You can indicate a tax type specifically for this job that is different from the tax type for the customer.  All purchases applied to this job receive the indicated tax type.  Note that if the tax type is non-taxed, a tax ID number must be entered at the bottom of the Job Properties screen.  An expiration date is not required.

P.O.

4. P.O.
The customer can specify a P.O. specifically for this job.  This overrides a blanket P.O. for the customer account if it exists.

Purchase Limit

Jobs
The customer can specify a credit limit that limits the amount that can be charged to the customer account in association with this job.  When the invoices are paid off, the credit is restored, like a charge account.  If an account charge transaction exceeds the credit limit for that job, you are prompted to select a different payment method or obtain a manager override.
 
Alternatively, the customer can specify a job or PO limit, which tracks all transactions using any payment type applied to this job and displays the unused portion at Ring Sale.
 
This amount is not restored, even after the invoices are paid off.  If a transaction exceeds the job/PO limit for that job, a message is displayed that the limit has been exceeded, and you must choose a different payment method.

Print Job

This prints a report for this job.  You can choose to include cost.

Delete

3. Delete
This deletes a job from a customer's account.  For record maintenance, it is best to change the job status to inactive rather than delete it.

Print List

4. Print List
This prints a list of all jobs, including PO details and comments.
 
At Ring Sale, you are prompted to select a job to apply purchases toward.
 
You can also add a new job on-the-fly by entering the new job information in the fields on the right side of the screen and clicking Select.  You are prompted to confirm that you wish to add the job to the jobs list.
 
If an invoice is mistakenly applied to the wrong job, the invoice header can be changed to reflect the correct job.  For more information on changing the invoice header, see Edit Invoice Header.

All open invoices for a job can be displayed through AR | Customer File | Reports | Open Invoice.
